Attention all Club Members: although the front page does not show it (yet), our first local event is May 14th at the Commons....by this Friday April 29, I need to submit the paperwork showing and Event Chair, a Safety Steward, and a Chief of Waivers....please step up to fill one of these roles....the EC is the role most avoided...in fact you save $15.00 entrant fee, and I have a spread sheet for what need to be done (the biggest is a phone call to get a porta potty)...please don't be shy, as you will have a lot of support to see it gets done...if you are on Facebook, please announce the need there...if you plan to be at the event, consider one of these roles...thanks, Mel (Competition Chair and paperwork high guru)

Thanks Brad....the team is Brad EC, James SSS, Russ backup SSS and Dave waivers and course design...
Brad---have you ECed before or would you like a spread sheet list to help you see what needs doing?...you don't have to do all the work, just make sure someone agrees to do the things...as Rose said, calling the porta potty people is the most important part...let me know if you need anything from me....I know Rose and Russ will also help....then after the event, make sure to tell everyone you know how much fun it was.... :P

On the subject of timing, we ran into an issue in Helena where Mike and I were in the same run group, and Lindsey was the only other one with experience running timing, and he was ALSO in the same run group. Wasn't a problem to move him, but it would be nice if there were a few more people with that skill.

So, if anyone wants to learn it, speak up! It's a pretty cushy job overall... you get to sit down, in the shade, and people only yell at you a little bit when things go wrong :).

I'm planning on being there, but not with 100% certainty (like 85-90%). So I didn't want to volunteer for something big where I'd be missed greatly if I couldn't make it. I have done timing before, but I wouldn't mind a refresher. If there are enough people to cover work areas I wouldn't mind helping with timing while somebody watches me so I don't mess it up.

I don't mind if you want to put me down for something else. But keep in mind the 15-10% chance I don't show up.

Speaking of tech. Do we have a solid plan for handling annual tech this year? We talked about it in the fall meeting, the last year or 2 has kinda been a mess and we really weren't sure who had actually been inspected (aside from taking people's word for it). As I recall, we were doing stickers, but also had talked about a spreadsheet, or a checklist to keep track of it. Sound familiar?

I second this. It's pretty easy to pick up for anybody with some computer knowledge and a decent eye for what's going on. Local events are super easy and a good starting spot.

In Helena this past weekend, we had two tech people, each day...we did put annual stickers on cars (the remaining stickers are in the lock box)....Jason Fruh was trained on tech and did a great job....in keeping with you thot above Kent, this is a much tighter focus than we have had...

Good. I think part of the issue was having a plan to check during registration to make sure cars have been teched and not just take people's word for it. How is the registrar going to know a car needs to be able to check? I think that's why we were going to keep a list in addition to the stickers. The registrar can't walk over to every car and check for a sticker. Right?

we have been having the drivers put the tech sheet under the windshield wiper...than the tech person gets the sheet and does the tech, or sees the sticker and knows it is annual....we could also have the driver sign that he has annual tech, and then the tech person doesn't see the sheet and can assume the car has annual....even if everyone at an event has annual tech, we should have a tech person walk the cars to look for any irregularities....I don't think we teched our loaner helmets, and we should do that also...do we use the same sticker for that?

I think if we want to get serious about this we can't take the driver's word for it. We should put the tech sheet on all the cars and have the tech guys look for the sticker. Guys when registering don't know what annual tech means, or have annual tech through another club, or whatever, and they just say yes.

The way the system worked for the longest time was that the driver registered and was asked to put the sheet on the car. The tech guy then went to the car and either teched it or noted that it has the sticker and marked the registration form and took it from the car. He then turned it in to the timing guy to enter into the computer.

This worked very well and no car could race until the tech guy looked at it and then personally turned in the signed form. Pretty simple and fool proof.

We put the stickers Kent had made on the cars and helmets. For the cars we should put them under the hood so they last all season. Some ended up on windshields, they may fall off.

Russ made the stickers.

But yeah, I think it's a good idea for us to always do our own tech on cars that have been teched by other clubs.

So just want to make sure everything on the list is covered.


I'm assuming all of the following is in the event box. Is the box back in the van or does someone still have it from the helena event?
-Wrist bands for waiver signers
-Waiver sheets printed
-Registration sheets printed
-Stickers for Tech
-Stickers for Helmets

-Club Van or cones driven to site-my ride fell through so if anyone would be willing take care of this or help me do it that would be swell

Change ($) for registration I have never seen this discussed on the forum before, not sure who normally does this, or if the change bag refills it self?

Charge radios and bring to event
If I remember correctly from the last meeting we now have radios that use AA batteries? I can get a brick of batteries from costco if needed.

I can pick up batteries/oil dry/water if needed.

I have the radios. They all have rechargeable batteries, with AA's as a backup. I will make sure they are charged and bring them on Saturday.

I think there is oil dry in the van. Brooms are definitely there.

We don't normally supply water for workers unless it's going to be crazy hot or something. I think the weather will be cool to mild, so I wouldn't worry about that.

Well, it's going to be jacket weather tomorrow, but looks like no rain. After the last couple weeks of precipitation (and even snow) that's a relief.

As I finish a day of puttering around the house instead of being out in the 43° drizzle, I think of how lucky we got with the weather yesterday and how much fun it was. I had a great time racing with you all and thank you all for being so cool and open to a new track design. Everyone took right to it and with our new wireless timing lights (Thanks Alex!) we were able to set up a really fun and fast course in that little lot that was over 60 seconds for most drivers. That was fun.

A huge thanks to Brad for being EC and to Brad, Andy and Joe for dealing with the dead battery in the van to get it home.....very cool.

I hope you all had a good time and that we'll see you June 5th at Cardinal. I hope our new lights allow for some changes in course design there too and that you will all come out and enjoy the fun elevation change of the Cardinal lot.

Thanks for a fun event everyone. The course was fun and fast and long for such a small lot, and it was smooth and challenging. Aside from a single missed trip early in the day that led to 2 re-runs the timing went super well. I was really happy with how well it worked. And we were able to put the lights really far apart which definitely saved that finish light from multiple beatings. The weather could have been better, but I felt we got really lucky avoiding rain on that day. Could have done without the wind, but still can't complain too much.

Also, I lost my house/work keys. Did anybody find a set?
